HR - Administration Execituve
1. Main responsibility
- Ensure the smooth operation of administrative activities and efficient use of office expenses.
- Handle receptionist duties, office clerical tasks, and incoming/outgoing correspondence according to company policies.
- Organize internal communication events and employee engagement activities as planned and within the approved budget.
2. Job description
- Affix the company seal on documents that have been signed by the General Director or authorized personnel, in accordance with seal management policies.
- Receive and process all incoming and outgoing mails/documents, and notify relevant departments.
- Organize and maintain correspondence records for easy tracking and retrieval.
- Manage meeting room bookings and ensure optimal usage.
- Answer incoming calls and direct them to the appropriate departments.
- Welcome and host visitors/clients/partners and prepare meeting rooms accordingly.
- Contact and coordinate with vendors/suppliers for office purchases and services.
- Monitor office equipment/facilities and arrange repairs or maintenance as needed.
- Manage and order office supplies based on departmental requests, handle distribution and collection (e.g., for new hires or resignations).
- Store invoices, contracts, and documents related to office rental, purchases, and services.
- Track and propose payments for administrative expenses (electricity, water, stationery, etc.).
- Perform other duties as assigned by management.
3. Job requirements
- Education & Experience:
- Bachelor's degree in Administration, Human Resource Management, or related fields.
- Minimum 6 months of experience in a similar role.
- Good command of English (4 skills).
- Female preferred; presentable appearance.
- Skills:
- Solid understanding of administrative procedures.
- Proficient in Microsoft Office.
- Strong communication and problem-solving skills.
- Personal traits: Outgoing, proactive, energetic, enthusiastic.

Work time
- Monday to Friday: Morning: 8:00 AM – 12:00 PM, Afternoon: 1:30 PM – 5:30 PM.
- Saturday: Working in the morning 8:00 AM – 12:00 PM, with 2 Saturdays off per month.
